The airport pickup is your client's first real touchpoint with your tour. A smooth, well-organized pickup sets the tone for the entire trip. A chaotic one creates anxiety and erodes trust before the tour even begins.
Pre-Arrival Preparation
- โ Confirm all flight numbers and scheduled arrival times
- โ Set up flight tracking alerts for delays or early arrivals
- โ Brief drivers on parking logistics and meeting point
- โ Prepare welcome signs with tour name (not individual names for privacy)
- โ Pre-assign travelers to vehicles (if multiple vehicles)
- โ Prepare a "stragglers plan" for delayed flights
At the Airport
- โ Arrive 30 minutes before first flight lands
- โ Position at arrivals exit with clearly visible welcome sign
- โ Carry a printed passenger list with phone numbers
- โ Have cold water/refreshments ready in vehicles
- โ Know the terminal layout โ where luggage belts are, bathroom locations
Group Assembly Protocol
- Greet arrivals, check off the list, direct them to a designated waiting area
- When 80% of the group has arrived, brief them on what happens next
- Load luggage systematically โ tag bags with room numbers if going directly to hotel
- Final head count before departing
When Flights Are Delayed
- Split arrivals โ send the majority to the hotel, leave one vehicle for delayed arrivals
- Contact delayed travelers โ send a WhatsApp message with updated plan
- Brief the hotel โ late arrivals may need food or a different check-in arrangement
